Purchasing Assistant

We are growing and are now looking to strengthen our team with a Purchasing Assistant, based in Logan Township, NJ. This position is on a part-time 6-month contract with working hours scheduled for 12pm to 5pm, but open to some flexibility, and with the potential to grow into a full-time permanent position based on business needs. We are now looking for a passionate Purchasing Assistant!  

Position Overview

In this part-time position as Purchasing Assistant, you will play a key role in supporting the Finance & Purchasing team to ensure smooth and efficient procurement operations. Your main responsibilities will include managing and tracking purchase orders, verifying packing slips for payment processing, and organizing and maintaining purchasing documentation in accordance with our internal procedures. This is a hands-on, operational role that contributes directly to the effectiveness and reliability of our procurement processes. This position will work closely with our purchasing manager and report to the CFO and does not include personnel or budget responsibilities. The position will be working at our office based in Logan Township, NJ.

You will also have responsibility for:

  • Coordinating with internal stakeholders to gather purchase requirements and specifications.
  • Maintaining accurate records of supplier information, purchase orders, pricing, and contracts.
  • Monitoring and tracking order status to ensure timely deliveries and resolve any discrepancies.
  • Communicating with internal colleagues regarding order status, product availability, and lead times.
  • Identifying opportunities and contributing to process improvements and cost savings initiatives.
  • Assist in identifying and evaluating potential new vendors or alternative products based on price, quality, and delivery time.
  • Assist with negotiating pricing and terms with current suppliers.
  • Performing other administrative duties related to purchasing and finance as assigned.
  • Supporting Finance & Purchasing reporting activities by gathering and preparing data as needed.
  • Collaborating closely with the Finance team to align purchasing activities with budget and financial controls.  

Your profile

We are looking for you who have:

  • A high school diploma or equivalent.
  • 1-2 years of experience in purchasing, procurement, or an administrative support role.
  • Strong attention to detail and accuracy in data entry.
  • A proactive, analytical approach to problem-solving.
  • Self-motivation with the ability to work independently within established guidelines.
  • A Team-oriented mindset with a willingness to learn.
  • Ability to manage multiple tasks and prioritize effectively.
  • Ability to ask questions when needed to complete tasks accurately and efficiently.
  • Basic understanding of purchasing processes and supplier coordination.
  • Competency in handling purchasing documentation, invoices, and PO follow-ups.
  • Ability to communicate comfortably with external vendors and internal stakeholders.
  • Competency to analyze quotes and compare supplier offers.
  • Solid written and verbal communication skills.
  • Intuitive digital and computer skills with a willingness to learn our systems.

It is seen as a plus if you have:

  • Associate or bachelor’s degree in business, Supply Chain, Finance, or a related field.
  • Experience working with an ERP system is advantageous.
  • Familiarity with Excel functions (e.g., pivot tables, VLOOKUP) for reporting and analysis.
  • Experience working in an international company or with global suppliers.

Compensation & Schedule for This Role

This role will be an on-site role in our Swedesboro (Logan Township), New Jersey, location.

  • The hourly range for this position is $24 to $27.
  • Starting salary to be determined by the education, experience, knowledge, skills and abilities of the applicant, internal equity, location, and alignment with market data.
